Thanks to droogi and the GC boys, especially acejas for the driving, for hosting me last night.

Was good to catch up and blow off some of the cobwebs.

Pity that last ball tilted out my bonus for the win.

 

Well run and simple format. Thoroughly enjoyed it.

 

Congrats Ant on popping his cherry. Well played.

The easiest hole was #7 (Star Wars) averaging 1.2 below par. For those who didn't realise, "shoot some tie fighters" could be activated with a single shot when playing as Han.

 

The most difficult hole was #3 (Ghost Busters) averaging 0.8 over par (capture 40 ghosts) there were only 2 pars and 1 birdie on this hole, everyone else got a bogey.

Gold Coast Pinball Club – Grand Poobah instructions/responsibilities.

 

 

IFPA sanctioning …

Liaise with Luke Marburg/Daniel Robar via ausifpa@gmail.com – any event must be approved a minimum of one month out from the competition date. In the case of GCPC events are typically pre-approved for the full year, for 2018 we are only approved up to 7th March (so continuing into April etc still needs to be submitted).

 

Timezone prep …

Liaise with Jamin/Widya via jaminj@timezonegoldcoast.com.au and widya@timezonegoldcoast.com.au to see what machines are available and remind them to turn extra balls off.

Competition prep …

Organize trophies – the supplier currently being used by Gavin requires minimum one week turnaround for orders. Be mindful that many suppliers close down over Christmas, which can throw a spanner in the works for organizing January trophies.

Remind players via Facebook “PAGE” and “Group” that a competition is coming up – also keep people up to date on AussieArcade (there is a dedicated thread for GCPC).

Organize random draw gifts – currently GCPC gives away Coles/Myer gift cards $10+$20+$30+$40 (total $100) and 2 vouchers supplied (free) by timezone.

Adjust score sheets based on what machines are available, print out 10 copies.

Print out blank “finals” score sheets for recording.

Setup a game in Matchplay software (typically just clone previous match and adjust machines/players as required) and don’t forget to “Start Tournament” when suitable (typically on game day).

 

Competition Day …

Liaise with timezone staff for chairs/table/power cord (if not already done on arrival).

Welcome new players (if any) and explain the format/payment etc. Get new players to write their FULL name for IFPA records and also a contact number to assist with tracking down people for finals.

Write down names of players as they begin competing (not on scoresheets but as a separate list), assign them a number (for random draw) and adjust Matchplay “players” as required.

Monitor player behaviour, remind where necessary of overly aggressive play style repercussions (zero score as per IFPA guidelines).

Chat with onlookers who seem interested, give them a business card if they’re locals, if they’re tourists tell them of AussieArcade IFPA etc.

Enter score data into Matchplay (I find it’s best to check off data during qualifying to speed up finals start time).

Choose a time for the random draw (say when 70%<>80% of games are finished) – try to get people to stop playing so that everyone can HEAR what is being said. Use Random.org to generate random draw numbers and also use this time to tell players of upcoming events or notices within GCPC/other tournaments etc.

Once qualifying is finished do a quick double check to make certain every machine has had the same number of players on it, if not, it means there’s data missing somewhere.

Organize top 8 finals and record the data on paper form only (matchplay is not used for Finals co-ordination at this stage).

Once Finals are finished, Award trophies, give another spiel.

See timezone staff for reconciliation of club funds (put cash into kitty).

RELAX!!!

 

 

 

Post Competition Day …

Submit finalised results to IFPA on spreadsheet (existing templates can be copied/altered).

Do up an infographic for FaceBook/AussieArcade posting of the results.

Update finances spreadsheet with expenditures/income.

Try to get to a couple of other competitions to make sure you’re not all work and no play 

 

Other General Notes …

The current GCPC monthly model requires a minimum of 17 players to stay ahead financially. 16 players (or less) would be losing money. 16 players are the minimum required for IFPA finals sanctioning, if there are 12<>15 players you would need to reduce the finals to a top 6 (not a top 8).

Remember that you are a volunteer – many people will have feedback/advice on how to improve things. This feedback is good to think about and bring on board where suitable but remember YOU CAN NOT MAKE EVERYONE HAPPY! Everything is a compromise and you should not add to your own workload unless you want to!

The process of "El Presidente" handover has begun, I will still be there as an assistant in March and I will probably be there in an advisory capacity only in April but - please, Please, PLEASE be gentle with my replacement. I was operating the club with 5 years experience, Matthew is going in relatively fresh and innocent in his knowledge base of running the show and will take time to get up to speed.

 

One thing that would be VERY beneficial, is if those of you with Matchplay accounts give us your (login) email so that we can ad you as score checkers. Entering data into matchplay is the biggest labour load for the evening and with (sometimes) over 200 data entries to make it can get a bit like having 30 customers to serve at a supermarket with only one checkout open.
